STEM Club Terms & Conditions
1. Introduction
These Terms and Conditions govern the relationship between STEM Club and families who enrol their children into our programmes. By registering your child, you agree to comply with and be bound by the terms outlined below.
2. Registration and Booking
- All children must be registered online or in writing before attending STEM Club.
- Bookings are accepted on a first-come, first-served basis and are only confirmed once payment has been received.
- STEM Club reserves the right to cancel a booking if fees are not paid in full by the deadline.
3. Payment and Fees
- All fees must be paid in advance of the start of each term or session.
- We do not offer refunds once a booking is confirmed (see Refund & Cancellation Policy).
- Late collection fees may apply if a child is picked up after the scheduled end time.
4. Attendance and Missed Sessions
- STEM Club does not offer refunds or make-up sessions for missed days, regardless of the reason.
- Children must be collected promptly at the session end time.
- If your child is absent, please notify us as early as possible.
5. Behaviour and Exclusion
- Children are expected to follow club rules and treat others with respect.
- STEM Club reserves the right to suspend or remove a child from the programme if their behaviour poses a risk to themselves, others, or staff.
- No refund will be given in the case of exclusion due to behaviour.
6. Health, Safety, and Wellbeing
- Parents must inform STEM Club of any allergies, medical conditions, or special requirements during registration.
- Children who are unwell should not attend the programme.
- In the event of illness or injury, staff will provide appropriate first aid and contact parents immediately.
7. Safeguarding and Child Protection
- STEM Club is committed to safeguarding children in line with our Safeguarding Policy.
- Any concerns regarding a child’s welfare will be managed according to our safeguarding procedures.
8. Data Protection
- Personal data is collected and used in accordance with our Privacy Policy.
- Data will only be shared with relevant parties where necessary (e.g. emergency services, safeguarding authorities).
9. Photography and Media
- We may take photos or videos during sessions for promotional purposes.
- Consent for photography will be requested at the time of registration.
- Parents may opt-out at any time by informing the STEM Club office in writing.
10. Liability
- STEM Club accepts no responsibility for personal property brought to sessions.
- While every effort is made to ensure safety, STEM Club is not liable for accidents or injuries that occur due to unforeseen circumstances.
11. Changes to Terms & Conditions
- STEM Club reserves the right to update these Terms & Conditions as needed.
- Parents will be notified in advance of any significant changes.
